Benchmark Senior Living is seeking an Administrative Assistant in our Corporate Office in Waltham.

The Administrative Assistant is responsible for working closely with the admin team in their work to support the executives and their teams.  This role will help coordinate meetings and schedules, assist with projects, greet guests, and answer phones.

PRINCIpAL DUTIES AND RESPONSIBILITIES

Administration

  • Assist with meeting arrangements including set up, breakdown, and ordering meals
  • Assist with travel arrangements
  • Assist with calendar/schedules appointments
  • Maintains office organization (filing, typing, copying, mailing lists, etc.)
  • Answer / screen incoming calls
  • Sort / distribute incoming mail
  • Greet and direct guests, and maintain visitor log for contact tracing
  • Work with accounting to code priority invoices for payment
  • Prepare expense/AMEX reports
  • Assist with annual conference registration /planning (NIC, Argentum, etc.)
  • Produce PowerPoint presentations as directed
  • Create/respond/file/track letters
  • Maintain office equipment
  • Order stationery and badges through corporate vendor
  • Assist Admin Team with monthly Length of Service awards for communities
  • Assist Admin Team with monthly and quarterly HO meetings, including Length of Service awards

Public Relations

  • Recognize opportunities to market Benchmark Senior Living communities and acts upon them as appropriate
  • View the community associates as the customer

 

Job Requirements

SKILLS AND ABILITIES

  • Knowledge of Microsoft Office Suite (Including but not limited to Word, PowerPoint, Excel, and Outlook), as well as familiarity with the Internet and its search tools.
  • Strong interpersonal, organizational, oral, and written communication skills
  • Knowledge of office equipment and ability to trouble shoot problems.

EDUCATION/EXPERIENCE/LICENSURE- 

  • High School graduate or equivalent certificate; Associates degree preferred.
  • 3 to 5 years progressive experience in office support.
