Administrative Assistant

Benchmark Senior Living is a privately-held 57 community company providing world class senior living experiences. Currently have communities in Maine, Vermont, New Hampshire, Massachusetts, Connecticut, Rhode Island, Pennsylvania and New York.


Benchmark is looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks at our home office in Waltham. Duties of the Administrative Assistant include providing support to members of the Executive Team and their staff, assisting in daily office needs and managing our company’s general administrative activities.


Principal Duties and Responsibilities:

  • Coordinate meetings of large and small scale including technical and catering needs
  • Maintains calendar/schedules appointments
  • Answers/screens incoming calls
  • Maintains databases
  • Keeps current contact/mailing lists for investor meetings
  • Retains book and subscription orders
  • Supports office organization (filing, typing, copying, etc.)
  • Sort and distribute daily incoming mail
  • Backup to reception as appropriate
  • Responsible for coding and routing invoices for payment
  • Prepares expense reports on a timely manner and monthly AMEX reconciliation
  • Produces proposals and presentation packets for quarterly meetings
  • Maintains databases (vendors, etc.)
  • Makes travel arrangements

Job Requirements


  • Must have minimum of 5 years’ experience supporting senior level executives
  • Must be able to organize their work using MS Office (proficient in Excel)
  • Yardi experience is a plus
  • Excellent verbal and written communication skills
  • Strong organizational skills with the ability to multi-task and prioritize work
