Job Description

PURPOSE

The Administrative/Executive Assistant is responsible for supporting the efforts of his/her direct supervisor and team. S/he helps coordinate meetings and schedules, provides computer processing and reporting support, and assists in special projects as appropriate.

 

PRINCIPLE DUTIES AND RESPONSIBILITIES

Administration

  • Makes meeting arrangements including ordering meals
  • Makes travel arrangements
  • Keeps calendar/schedules appointments
  • Maintains office organization (filing, typing, copying, etc.)
  • Answers / screens incoming calls
  • Sorts / distributes incoming mail
  • Covers front desk as appropriate
  • Assists with meeting set up and breakdown
  • Codes invoices for payment
  • Prepares expense reports

Analysis/Reporting

  • Places book and subscription orders
  • Maintains office equipment
  • Maintains mailing lists

Computer Skills

  • Produces proposals and presentation packets
  • Maintains databases (vendors, etc.)
  • Demonstrates proficiency in computer applications
  • Drafts responses to letters

Job Requirements

SKILLS AND ABILITIES

  • Knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook and Access) as well as familiarity with the Internet and its search tools.
  • Strong organizational, oral and written communication skills
  • Knowledge of office equipment and ability to trouble shoot problems.
  • Maintains databases (vendors, etc.)

 

EDUCATION/EXPERIENCE/LICENSURE- CERTIFICATICATION

  • Must have 3 to 5 years progressive experience in and administrative role or office management.
  • High School graduate or equivalent certificate; Associates degree preferred.
