Job Responsibilities

The Director of Business Administration-Accounting (DBA) reports to the Executive Director, with a strong relationship to the corporate Ops, Accounting and Human Resources teams.

The Director of Business Administration-Accounting is responsible for supporting the Executive Director and Management Company with the financial duties of the community.  This role is responsible for maintaining accounts payable records and ensures deposits and cash receipts are accurate and complete.

Job Requirements

Requirements of the Business Administration Director include:

Accounts Receivable and Payable

  • Monitor Move in and Move out activity
  • Record resident payments on to deposit summary form
  • Fill out deposit slips and make timely deposits (at a minimum twice per week)
  • Fill out weekly/monthly deposit summary sheet
  • Post service fees into billing system
  • Assist Executive Director in reviewing resident bills
  • Assist Executive Director with resident file maintenance
  • Timely distribution of resident bills
  • Assist Executive Director with monitoring aged receivable balances and make collection calls to respective parties
  • Checks and approves payments against purchase orders when required
  • Prepares and submits Medicare B claims
  • Backs up for Med A and co-insurance billing for Medicare
  • Adhere to the weekly accounting cycle
  • Turn Profit Reporting

Analysis / Reporting

  • Maintains office equipment including postage meter balance as appropriate
  • Analyzes monthly financials with Executive Director
  • Provides assistance with spreadsheets and yearly budget as requested by the Executive Director

P&L Management

  • Capable of understanding the components of  an accrual basis Financial statement
  • Assist the Executive Director with gathering support for significant Actual to Budget Variances on the Monthly financial statement
  • Understanding of  capital expenditure vs. financial statement expense
  • Able to analyze the revenue by product type
  • Assist the Executive Director with the annual budget process
  • Adhere to the accounting cycle

Financial Management

  • Demonstrates an understanding of the components of an accrual basis financial statement
  • Assists the Executive Director with gathering support for significant actual-to-budget variances on the monthly financial statement
  • Understandings  capital expenditure vs. financial statement expense
  • Analyzes revenue by product type
