New Pond Village is looking for a Receptionist to be responsible for front desk coverage including greeting visitors and vendors, answering the telephone, coding invoices, overseeing the postage meter, and metering mail. 

The Front Desk Receptionist serves as the information referral center for all residents, families, potential residents, staff, guests, community contacts, and others visiting the community. S/he must be aware of all daily activities, administrative staff, and management company roles and responsibilities and direct or answer questions accordingly. In addition, the Front Desk Receptionist shall provide support for some computer processing duties as appropriate.

Pay: up to 17.25/hour

Schedule: Part time/ Per-Diem (Saturday and Sunday evening availability required)

 

Role Responsibilities

  • Answer and direct phone calls
  • Greet and direct visitors in the Home Office
  • Sort incoming mail
  • Responsible for postage machine, restocking supplies and processing outgoing mail
  • Send mail via USPS or FedEx
  • Maintain and arrange for document management pickups for HO, including shred bins
  • Keep reception area and clean occasional dusting of display trophies
  • Order flowers and/or gifts from BSL with corporate pricing and guidelines
  • Maintain HO phone list and community phone list and updates on a monthly basis
  • Manage Open Path system for building access to the HO
  • Support other Administrative staff
  • Code invoices related to overall office management function
  • Coordinate with BPX Office regarding office space issues (repairs, leaks, bulb replacement, rug cleaning, trash removal)
  • Other projects as requested

Job Requirements

Education/Experience/Licensure/Certification:

  • High School graduate or equivalent certificate
  • Previous office experience required

Required Skills/Abilities

  • Intermediate-level knowledge of Microsoft Office (Word, PowerPoint, Excel, and Outlook) as well as familiarity with Internet search tools
  • Strong organizational, oral, and written communication skills
  • Knowledge of office equipment and ability to troubleshoot problems
